Booking Conditions

1. A deposit of £80.00 per lodge per week (including cancellation plan, if applicable) is payable when you book your holiday. This confirms your reservation. The deposit and cancellation plan costs are non-returnable (except where indicated otherwise in the cancellation conditions).

1.1 You will be asked to provide debit card (or credit card) details at the time of the Booking to secure your reservation. By Booking, you are authorising the debiting of the card provided. We accept the following methods of payment: Credit Cards: MasterCard / Visa cards, Visa Debit Cards: Visa / Delta and Visa / Electron. The Guest must pay all outstanding charges on departure from the Holiday Park.

1.3 The deposit payment and balance may be paid by cheque, if forwarded at least 14 days prior to arrival.

2. Booking Confirmation: The submission of the completed Booking Form and Deposit, (or telephone agreement) shall constitute an offer by you and a contract will come into existence if and when we confirm the booking in writing. Bookings are not normally transferable within 6 weeks of the start of the holiday. In the case of telephone bookings where you pay by credit/debit card, a contract will come into existence if and when we accept your booking in writing.

3. The balance of your payment must reach us no later than 6 weeks before the start of your holiday. We do not send another reminder after the invoice has been sent. We reserve the right to cancel your holiday and retain the Deposit paid, if full settlement of the invoice has not been made within this time. Bookings made less than six weeks before your holiday start date must be paid in full when returning your completed Booking Form.

4. Prices quoted include VAT (where applicable) at the current rate at time of printing and are subject to change if this tax rate change before you make payment.

5. The booking is made on the understanding that your chosen Lodge will be placed at your disposal on the date stated. If your chosen Lodge is unavailable for whatever reason, we will transfer your holiday at no extra cost to an alternative lodge that is acceptable to you, or alternatively, refund your total cost of holiday, but you will have no additional claim against us or any letting agent

6. Your lodge furnishings, fittings, utensils and other contents must be kept in a reasonable condition and the lodge must be left clean and tidy on departure. You will be responsible for any loss, damage or breakages that may occur during the period of occupation.

7. The owners reserve the right to impose a returnable breakage / cleaning deposit for non - family groups to be returned in part or full within seven days of the group vacating the property

8. We are a family holiday village and regret that except in exceptional circumstances, bookings cannot be accepted from all male or female parties.

9. We welcome well-behaved pets in certain types of accommodation, but if you intend to bring a pet, this must be notified when booking.
A maximum of two dogs per lodge are allowed.
We reserve the right to refuse certain breeds of dog that we consider inappropriate for a family holiday village.
Pets must be kept under strict control at all times and must not be allowed to foul the property or the park grounds.
Pet owners must bring their own pet basket and/or bedding.
Pets are not allowed on furniture or beds and must not be left unattended in the hired property at any time.
We regret cats are not permitted.
The supplement to bring your dog is £35 per week, or £5 per night with a minimum charge of £20 per short break (up to a maximum of two dogs per Holiday Home)
Hirers will be liable for any damage caused by pets.

10. Your lodge will be available (subject to No. 5 above) from 4.00pm on the stated day of arrival and must be vacated by 10.00am on the day of departure. Reservations will not be held after 10.00pm on the day of arrival unless prior arrangements have been made with us. If you have not contacted the holiday village to inform us of your late arrival, we will assume that the holiday is cancelled. Steps will be taken to re-let the accommodation and the total holiday cost will be retained.

11. The maximum number of people allowed is clearly stated in the description and extra persons cannot be accommodated. Only those guests listed on the Booking Form shall be entitled to occupy your Lodge for their use and any breach of this condition shall entitle us to terminate the booking and to exclude forthwith from the Holiday Village both the unauthorised persons together with your party.

12. The booking form shall also be treated as an application by each person in your party for membership of the Club in respect of which there is included a subscription of 5p within the holiday tariff that is payable.
Day Visitors - Your party are welcome to register and pay for day guests, subject to management approval, at reception. This permits use of the swimming pool and entry to the clubhouse.
Admission charges: Adults and children £2.00, Infants 3 years and under £1.00.

13. Vehicles must not exceed 10 miles per hour within the boundary of the Holiday Village and MUST ONLY BE DRIVEN BY HOLDERS OF A CURRENT DRIVING LICENCE HAVING ADEQUATE THIRD PARTY INSURANCE. We will not be responsible for any personal injury, loss or damage to property or persons howsoever caused by vehicles not owned by us or driven other than by one of our employees or agents.

14. Neither we nor our employees or agents accept liability for any personal injury, loss or damage which may be sustained by your party or their guests or their property during the period they or any of them are at your Holiday Village except where it arises from the negligence or wilful default of us, our employees or agents.

15. Children remain the responsibility of their parents or guardians at all times.

16. Cots and Hire chairs that are available to hire must be left clean on departure. Additional cleaning may be charged for. Please provide your own linen for any cot hired.

17. While we use our best endeavours to ensure the availability of all amenities advertised in the Brochure or otherwise we reserve the right to alter, delete or close certain amenities or facilities or certain parts of the programme of activities either advertised or previously available without prior notice.

18. You undertake (both for yourself, all members of your party and their day guests) not to do anything which may in the opinion of the Management of your Holiday Village be or become a nuisance or annoyance or which shall in any way interfere with the quiet or general comfort of other guests at the Site. Any person failing to comply with this condition will be asked to leave the Site immediately. No refund will be made as this will constitute a breach of contract between you and us. We have the right either during or after your stay to recover from you, either by debiting the credit or debit card used to pay for the holiday or otherwise, the costs of:
~ any compensation we may pay to others, including our other guests, and/or
~ any property or accommodation damage, and/or
~ any other charges, fees or levies we may incur resulting from your action or inaction and from any breach of our agreement with you.

19. Duvets and pillows are provided in all lodges. Linen is not provided, but is available for hire at a £8.00 per bed. Towels are not provided, but can be hired at £4.00 per set. Linen and blankets for cots are not supplied and should be brought by the visitor. A charge will be made for hired linen, towels or other hired items not left at your lodge at the end of your stay.

20. If you have special requests or needs, please advise us at the time of booking, although we cannot guarantee that any requests will be met. Failure to meet special requests will not be a breach of contract. It is your responsibility to satisfy yourself that the property is completely suitable for your needs. Please note that if a particular requirement is not specified on the Website then it is not provided.

21. The enjoyment of your holiday is important to us and, in the unlikely event of there being a problem or dissatisfaction with any matters under our control, please report it to a member of staff immediately. We cannot accept liability in relation to any claim of whatever nature if you fail to notify us in writing within seven days from the end of your holiday.

22. Data protection and Privacy: Penlan Holiday Village is registered with the Data Protection Commissioner. Information provided when requesting a brochure or placing confirming a booking, whether on line or by telephone or by post, will remain confidential and will not be disclosed to a third party.
